Project Overview

We are transitioning our financial management system from Excel to QuickBooks. We want to be able to produce a balance sheet and cash flow statements and track various grant spending. We are an umbrella organization, with a single non-profit board that oversees 4 smaller organizational chapters that are financially independent of one another. We need to be able to create classes within QuickBooks to manage the finances of the chapters as well.

Chicago Street Medicine is unlike any other healthcare non-profit organization in Chicago and any other organization in the US. Chicago Street Medicine stitches together the major medical institutions in the US including Northwestern, University of Chicago, University of Illinois-Chicago, and Loyola to create a team of 150 volunteer physicians and 400 medical students that are dedicated to providing on-the-street healthcare to Chicago's unhoused population.

In the last year, our operational infrastructure and strategic partnerships grew significantly. In one year, we went from 1,700 patient encounters to over 4,000. Our needs have changed, the amount of funding we require has gone up, the number of grants and visibility of grants have gone up, and the amount of donations has gone up. We need to be much more sophisticated in our financial management to ensure we can maintain the same level of efficiency without compromising the care we provide to our patients.

We have a QuickBooks account and a Donorbox account connected to our bank account. We plan to clean up the current financial structure so we can delineate the various revenue streams and effectively track spending. We have a volunteer team that can track, monitor, and report on the finances, we just need to get the initial QuickBooks iteration organized in a way that is fit-for-purpose. The financial reporting will take place monthly back to our board of directors, annually to the state of Illinois, and annually to our various grantors.

We are an interdisciplinary organization dedicated to supporting learner-fueled street medicine chapters throughout Chicago and aim to improve the health and well-being of our city. Since August 2017, we have been delivering primary care and specialty care to those experiencing unsheltered homelessness in Chicago.

We don't wait for people to come to us. We take the care to them.
