Project Overview

Volunteer your time and skills to help our nonprofit complete an important data migration project!

The data migration project aims to transfer data from the legacy system (eTapestry) to the new system (EveryAction) while ensuring accuracy, completeness, and integrity. This may involve moving data between databases, platforms, or formats to facilitate system upgrades, consolidations, or migrations to cloud environments. The project's overarching goal is to execute a seamless transition while minimizing disruptions to business operations. The project consists of roughly 8,000 records with 35 fields per record. This is a correction of a data migration 2022 project that missed key data.

Through rent-free housing and cooperative living, the Southern Scholarship Foundation supports students who lack financial resources, demonstrate excellent academic merit, and exemplify good character to attend institutions of higher education. Since 1955, SSF has helped students achieve their dreams of attending their choice university through our partnerships in Florida. SSF does not provide monetary-based scholarships, we offer rent-free homes located near our partner institutions. We currently have 26 homes statewide and serve 470 students.

In 2022 SSF began the process of replacing a legacy system that supported both Student Affairs and Development with a new system. The transition to a new program management system ended in failure: the selected tool was not the appropriate solution. The new fundraising software is now functional, however, there still seems to be missing data from the legacy system (eTapestry) to the new system (Every Action).

At the end of 2024, SSF will sunset eTapestry and must ensure that program alumni data has been fully carried into Every Action. In addition, SSF is laying the groundwork for a capital campaign, and having confidence in data is a critical step in this process.

Dr. Shawn Woodin, President/CEO, is the internal lead on the project and is supported by the Director of Development and the Staff Accountant. Dr. Woodin recognizes that with incomplete data, the upcoming capital campaign will be hampered in its success. The Board has voted to advance with the capital campaign and expects staff to take all measures to ensure its success. This project is key in developing well well-segmented, personalized message to appeal to over 10,000 program alumni from the past 69 years.

Dr. Woodin participated in a project scoping call with a consultant on Taproot to fully understand and articulate the details. The specific scope of work is available for review upon request.
