Conduct an AI/ML Readiness Assessment

We are just starting out in our AI journey and need guidance to set us up for success! We are searching for a volunteer partner who can lead a comprehensive assessment of our readiness to utilize AI or machine learning tools to fuel aspects of our operations, program management, marketing, and/or fundraising efforts.

This assessment will focus on the following areas:
- Strategic alignment: dig into our organizational goals for the next 12-24 months and how we envision AI/ML supporting those goals
- Data readiness: investigate our data formats and storage, identify any compliance concerns
- Technical infrastructure: explore our systems and infrastructure
- Assess organizational readiness: clarify staff expertise in managing technical tools and budget for this work moving forward
- Success criteria: discuss how impact of AI utilization will be evaluated

After conducting this readiness assessment, we need the volunteer to provide a summary of key findings and recommend AI tools or approaches tailored to our needs. This summary should be packaged as a presentation or report for leadership review to support decision-making and next steps.

We are new to AI and are coming into this project with an open mind and appreciation for the suggestions provided. We are prepared to share information on our operations, program management, grant writing, and marketing workflow so that the volunteer has a full view of how our organization operates and the tools we utilize. We’ve inventoried our data so that the volunteer is able to dig in, see what’s available, and assess our storage system. The results of this assessment and recommendations will be carried forward by our team or additional pro bono resources.

We will assign a dedicated project lead and small cross-functional team (programs, operations, and data) to partner closely with the volunteer. We’ll start with a focused kickoff to align on goals, scope, timelines, and success metrics, then provide secure access to our data inventory, documented workflows, and core tools (e.g., ClickUp and Google Workspace). We’ll schedule regular check-ins to make decisions quickly, clear blockers, and validate findings, and we’ll close by translating the final recommendations into a prioritized AI/ML roadmap with clear owners and next steps for implementation.
