Google Workspace Set Up

We want to create an efficient and user-friendly Google Workspace environment that will enable our team to collaborate effectively and improve organizational operations. The primary focus will be setting up Google Drive as a shared workspace, and organizing it to ensure accessibility, security, and scalability. Specific tasks include:

Setting up shared drives with clear folder structures.
Implementing appropriate user permissions for team members.
Developing best practices for file naming, organizing, and sharing.
Providing an orientation or training session for our leadership and staff, who are accustomed to Microsoft products and face a steep learning curve with Google Workspace.

This project will directly support our mission by improving our operational efficiency and enhancing our team collaboration. As an organization that works with diverse communities and partners, having a centralized and accessible file-sharing platform will ensure that we can respond quickly and effectively to opportunities and challenges. A streamlined Google Workspace setup will allow us to focus less on administrative hurdles and more on delivering impactful programs and services to the communities we serve.

Additionally, equipping our team with the skills to use Google Workspace confidently will empower us to embrace modern tools and remain agile in our operations, ultimately strengthening our ability to fulfill our mission.

My team and I have prepared for this project by:

Securing leadership buy-in and confirming their commitment to learning and using the new system.
Identifying the key documents and folders currently stored in various locations (personal drives, external devices, etc.) that need to be centralized in Google Workspace.
Creating a list of organizational needs and specific permissions required for different team members.
Establishing a primary point of contact who will work closely with the volunteer to provide access and coordinate the project.
Allocating time for the leadership team to participate in training sessions and practice using Google Workspace.
